Cash Flow & Business Health

Know where the business stands. Before the bank tells you.

SubbieTRAC is not an accounting package. It keeps the books that fall out of the work — claims, bills, payments, pay — and turns them into the two things a subcontractor actually needs: a weekly cash-flow forecast and an honest read on the health of the business. Your accountant gets the rest, in the shape they want it.

Cash Flow: opening balance, closing balance and lowest point, then week by week each outstanding invoice with its expected pay date and amount, bills on their due dates, and the running balance after each line.
The cash-flow forecast — every invoice coming in and bill going out, and what is left in the bank at the end of each week.

01 / Cash flow

See the bank balance before it happens.

Every outstanding invoice coming in, every bill and standing cost going out, and the running balance at the end of each week — from today to three months out, starting from what is actually in the bank.

  • Opening balance estimated from your bank accounts; closing balance and the lowest point, with the date it lands
  • Every outstanding invoice with its expected pay date — an estimate you can correct as the client tells you more
  • Bills and payables on their due dates, so the out-goings are real rather than a guess
  • Income and expense forecasts added on top for the things not yet invoiced or billed
  • Filter by project or client, and set how far ahead to look
  • A phone number on the row — the invoice that decides next week’s balance is one call away
Cash Flow: opening balance, closing balance and lowest point above; then week by week, each outstanding invoice with its customer, project, expected pay date and amount, bills ready to pay, and the running total after each line — with Income forecast and Expense forecast buttons.
What the bank looks like from today to December — invoice by invoice, bill by bill, with the running balance beside each.

02 / Business Health

An early warning, not an autopsy.

An ongoing read on your cash, your clients, your projects and your people. It starts with a few minutes of questions, then keeps checking as the real figures build up — and tells you when something is starting to go wrong, while there is still time to do something about it.

  • A first baseline in minutes — health, risk and resilience, with a data-confidence rating beside it
  • As invoices, payments, payroll and project data build up, the picture is checked in the background against what you said
  • Forecasts ahead, stress-tests your exposure to each client, and flags developing issues early
  • Five measures on the dashboard — liquidity, profit margin, getting paid, paying on time, net position
  • Client-spread warnings on the projects and invoices registers, where a single client is too much of the book
  • Works on your own records, inside your own account — an early-warning guide to running a stronger business, not accounting or insolvency advice
Business Health: “Let’s take your business’s pulse” — a quick self-assessment across cash, clients, projects and people gives a first Health, Risk and Resilience baseline; then SubbieTRAC keeps checking as invoices, payments, payroll and project data build up, forecasting ahead, stress-testing client exposure and flagging developing issues early. The page states it is not accounting or insolvency advice.
Business Health — take the pulse in a few minutes, then let the real figures keep it honest.

03 / Commitments & compliance

What leaves the account on its own, and the paperwork builders ask for.

The standing instructions the business has authorised, and the insurances, licences and certificates every builder wants to see — both kept current in one place, so neither is a surprise.

  • Direct debits — what is paid to whom, how often, how long for, and when the next one leaves
  • Committed per month and due in the next 30 days, so the cash-flow forecast already knows
  • Compliance documents — public liability, workers compensation, licences, white cards, SWMS, inductions and the rest
  • Tick what is on file, set the expiry and who checked it; see what is current, expiring or lapsed
  • The same records the Site app, the claims and the tender documents draw on
Direct Debits: active debits, committed per month and due in 30 days above, then each standing instruction with what it is for, who it is paid to, next due date, amount, how often, how long and status.
Direct debits — every standing instruction, when it leaves and what it adds up to each month.
Compliance Documents: a checklist of twelve records — public liability, workers compensation and professional indemnity insurance, tools and equipment insurance, income protection, trade or builder licence, construction white card, SWMS, site induction, subcontractor agreement, ABN/GST verification and superannuation — with what is on file, expiring and lapsed.
Compliance Documents — the certificates and records you hand a builder, with what is current and what is about to lapse.

04 / The books, kept light

The books fall out of the work. You tidy the edges.

SubbieTRAC is not an accounting package. Claims, bills, payments and pay already post to a ledger because they happened here — what you add is the part it cannot see for itself: the bank statement, the odd journal, the asset you bought.

  • Bank recs — drop the statement (PDF, CSV, OFX or QIF), type the two bank figures, tick what appears, and drive the difference to zero
  • Lines come from the invoices, bills and journals already in the system; open one to change it
  • An asset register — purchase, depreciation, compliance, expenses and history — that is also the site asset register
  • Journals and a chart of accounts for the rest, when your accountant asks for them
  • Some of this is manual, and the page says so — the point is that most of it is not
Bank Recs: drop the bank statement or auto-fill from it, type the bank opening and closing balances beside the system’s, and tick the receipts and payments that appear on the statement until the difference reads zero, with export to PDF or CSV.
Bank Recs — the statement’s two figures typed, everything else ticked off against what the system already knows.
The New asset form: category, asset code, name, serial number, status and “Can go to site”, with purchase and depreciation — supplier, purchase date, price including GST, useful life, salvage value — and tabs for compliance, expenses, tasks, documents, notes and history.
One asset — bought, depreciated and, if it can go to site, tracked there too.

05 / Your accountant

Hand your accountant the figures, not a shoebox.

SubbieTRAC is the system of record. The Accountant Hub turns its figures into the shape your accountant needs — to key into MYOB or whatever they run, or to check against — for any quarter or period.

  • A BAS entry sheet — G1, 1A, 1B, W1, W2 and the rest — computed from the ledger and your finalised pay runs, with what each label is in plain words
  • An accountant pack — the full general ledger and a trial balance as CSVs, for the period
  • Payroll summaries — STP and super contribution figures per employee, from finalised pay runs, to check a lodgement against
  • Nothing here lodges anything; your accountant or your lodgement channel does that, from these figures
  • Print the sheet, or send them the files
The Accountant Hub: a quarter and date range, a BAS entry sheet listing each label — total sales, GST on sales, GST on purchases, gross wages, PAYG withheld — with what it is and the amount, and an accountant pack with General Ledger CSV, Trial Balance CSV, STP summary CSV and Super contributions CSV buttons.
The Accountant Hub — the quarter’s figures, in the shape your accountant keys in or checks against.

Outside Australia?

Everything except the Australian tax pieces works wherever you build.

BAS, PAYG and super are Australian, so the Accountant Hub’s tax figures are too. Cash flow, Business Health and everything else in SubbieTRAC are not. We are launching in Australia first and aim to open other countries from late 2026 — tell us where you are and we will let you know when yours is ready.
